Billing, Credits & Refund Policy
Effective Date: October 10, 2026
1. Overview and Scope
This Billing, Credits & Refund Policy explains how RingFuze Technologies LLC (“RingFuze,” “we,” “us,” or “our”), doing business as Calladhere, charges for the Calladhere platform (the “Service”), how prepaid credits and storage plans work, and how to request credits, refunds, or billing corrections.
This Policy is part of our Terms of Service. If you have signed an order form, enterprise agreement, or partner agreement with us that sets different pricing or billing terms, that agreement controls to the extent of any conflict.
All amounts are in U.S. dollars. Payments are processed by our third-party payment processor. Your full card details are collected and stored by our payment processor and never touch our servers. We keep records of your wallet balance, transactions, and invoices.
2. Prepaid Wallet and Credits
How the wallet works. Calladhere uses a prepaid wallet. You add funds to your organization’s wallet as credits, and usage of the Service is deducted from your balance as it occurs. The minimum top-up amount is $1.00.
No cash value. Credits have no cash value, are not legal tender, and may be used only for the Service.
Non-transferable. Credits are tied to the organization account that purchased them and may not be transferred, sold, or exchanged, except as we agree in writing.
Expiration. Credits do not expire while your account remains active.
Insufficient balance. If your wallet balance is not enough to cover new usage, new transcriptions and audits may be paused or held until you add funds or enable auto-reload.
Non-refundable. Purchased credits are non-refundable except as described in Section 8 or as required by law.
3. Usage-Based Pricing
Usage is charged based on the duration of the audio processed (per audio minute) for transcription and AI analysis, at the rates published on our Pricing page or the rates stated in your order form or other written agreement. Custom pricing is available by agreement; contact sales@calladhere.com.
Charges are calculated by the Service when processing occurs and are shown in your organization’s billing and transaction history in the app. Reprocessing a recording (for example, re-running an audit after you change your audit questions) may result in additional usage charges.
4. Auto-Reload
Authorization. You may turn on auto-reload in your billing settings. By turning it on, you authorize us (through our payment processor) to charge your saved payment method the reload amount you select each time your wallet balance falls below the threshold you set, until you turn auto-reload off.
Managing auto-reload. You can change your threshold, reload amount, or payment method, or turn auto-reload off, at any time in the app. Changes apply to future reloads.
Declined payments. If an auto-reload charge is declined or fails, auto-reload is paused and no credits are added for the failed charge. You will need to update your payment method and re-enable auto-reload. While auto-reload is paused, usage continues to draw down your existing balance, and processing may be held if the balance runs out.
Failed payments generally. Credits are added to your wallet only after a payment succeeds. We may notify the account’s billing contacts about failed payments.
5. Storage Plans
Free storage. Every organization receives 10 GB of recording and file storage at no charge.
Paid storage tiers. Additional storage is available on monthly paid plans. As of the Effective Date, the tiers are: 50 GB for $25 per month, 125 GB for $40 per month, 512 GB for $65 per month, 1 TB for $75 per month, 2 TB for $125 per month, 4 TB for $200 per month, 8 TB for $325 per month, and 16 TB for $600 per month. Current prices are shown on our Pricing page and in the app, and those prices govern.
Billing. Storage plans are billed monthly in advance to your payment method and renew automatically each billing period until canceled.
Upgrades. When you upgrade to a larger tier, the price difference for the rest of the current billing period is prorated and charged immediately. If the prorated payment fails, the upgrade is not applied.
Downgrades. You may move to a smaller tier only if your current storage usage is at or below the new tier’s limit. You may need to delete files or shorten your retention period first.
Cancellation. You may cancel a paid storage plan at any time. Cancellation takes effect at the end of the current billing period, and we do not provide partial refunds for the remainder of that period.
Storage limits. If your stored data exceeds your plan’s limit, uploads and new recording syncs may be restricted until you reduce usage or upgrade. Your retention settings, described in our Privacy Policy, also affect how much storage you use.
6. Invoices, Receipts, and Taxes
Invoices and receipts. We issue invoices or receipts for wallet top-ups, auto-reloads, and storage plan charges through our payment processor. Invoices and receipts are available in the billing area of the app and may also be sent by email to your billing contacts. Contact billing@calladhere.com if you need a copy or need billing details (such as your company name or address) updated.
Taxes. Prices do not include taxes unless stated otherwise. You are responsible for all sales, use, value-added, and similar taxes, duties, and government charges associated with your purchases, other than taxes on our net income. Where we are required by law to collect taxes, we will add them to your invoice. If you are tax-exempt, please send a valid exemption certificate to billing@calladhere.com.
7. Service-Failure Credit Requests
Eligible issues. If you were charged for processing that failed because of a problem with the Service, such as a failed audit, a transcription failure, or a failure of one or more audit sections, you may request a credit.
How to request. Submit your request through the credit request feature in the app within 30 days of the affected charge, with enough detail for us to identify the affected calls or audits.
Review and outcomes. We review each request and may approve it in full, approve it in part, or deny it. We will let you know the outcome in the app.
Form of credit. Approved credits are added back to your wallet as credits. Service-failure credits are not paid out in cash or refunded to your payment method.
Disagreements with findings. Credit requests are intended for service failures. If you disagree with an AI audit finding, please use the QA review and reversal tools in the app. See our AI Transparency Statement.
8. Refunds
General rule. Prepaid credits and storage plan fees are non-refundable, except where required by law or as described in this Section.
Billing errors. If we charged you in error (for example, an incorrect amount or a charge you did not authorize), we will, at our discretion, correct the error by issuing a refund to the original payment method or by adding credits to your wallet.
Duplicate charges. If you were charged twice for the same top-up or plan charge, we will reverse or refund the duplicate charge once confirmed.
Account closure. Unused credits remaining at account closure are not refunded, except as required by law or as described in this Section.
To report a billing error or duplicate charge, contact billing@calladhere.com as soon as possible and include the invoice or transaction details. Approved refunds are returned to the original payment method, and the time for funds to appear depends on your bank or card issuer.
9. Price Changes
We may change our published prices, including usage rates and storage plan prices. We will give you at least 30 days’ notice of a price increase by email, in the app, or on our Pricing page. Price changes apply from the effective date stated in the notice. Credits already in your wallet will be consumed at the rates in effect when usage occurs. Rates fixed in a signed order form or agreement remain in effect for the term stated in that agreement.
10. Billing Disputes and Chargebacks
Contact us first. If you believe a charge is incorrect, please contact billing@calladhere.com before disputing it with your bank or card issuer. Most billing questions can be resolved quickly, and we will work with you in good faith to investigate.
Chargebacks. If you file a chargeback or payment dispute, we may suspend your account or pause processing while the dispute is pending, and we may reverse credits associated with the disputed payment. If the dispute is resolved in our favor, you remain responsible for the disputed amount and any fees we incur as a result, to the extent permitted by law.
11. Partner and Reseller Billing
If you obtained Calladhere through a partner or reseller, your pricing, invoicing, payment terms, and refunds may be governed by your agreement with that partner, and the partner’s billing arrangement with us is governed by the applicable partner agreement. Please direct billing questions to your partner first. We may contact you directly where needed to resolve account or payment issues.
12. Nonpayment and Suspension
If a required payment fails or remains unpaid, including a storage plan renewal, we may, after reasonable notice where practicable, restrict uploads, pause processing, or suspend access to the Service until the balance is paid. Suspension does not relieve you of amounts owed. We will restore access once your account is brought current.
Continued nonpayment may lead to termination of your account under our Terms of Service, which also describe how you can export your data and how data is handled after termination.
